A reminder 24 hours out and again 2 hours out is not clever technology. It is a message that reaches the patient while she can still confirm or apologise — and an appointment cancelled in good time can be given to someone else instead of being lost. A shared inbox on your official number

Your clinic's official WhatsApp number becomes one inbox the whole team opens, not a handset in one receptionist's pocket. Messages appear as they arrive without reloading, with sent, delivered and read status. Photos, voice notes and documents go both ways from inside the system. And Meta's 24-hour window is shown to the person before she types, not after her message is rejected.

Roles for the team, owners for conversations

Four roles: owner, supervisor, sales rep and receptionist. A new conversation goes automatically to whoever is available with the fewest open chats, and a patient who has written before comes back to the same person, who already knows her case. Every reassignment is logged: who, to whom, and why. A sales rep does not see her colleagues' conversations — not because the button is hidden, but because the server never hands them over.

Supervisors see the work, not impressions

The team screen shows, live, how many conversations each person is carrying, how many have passed the response time your clinic set, and each person's median time to first reply. From the same screen a supervisor reassigns a conversation with a stated reason.

Reception sees one schedule: its own branch

A separate role with clear boundaries: the appointments of her branch only — no conversations, no other branches. The person at the front desk needs the diary. She does not need the inbox, and should not be handed it.

A schedule built for a real clinic

Branches, each with its own address and time zone. Doctors, each with their own hours per branch, their leave, and the services they perform. Services with their own duration and price, because a 15-minute consultation and a 60-minute session cannot come out of the same grid. Session packages — laser, six sessions — keep count of what has been done, and every appointment knows which session number it is. Deposits are recorded once collected. And two appointments with the same doctor at the same hour are impossible by database design, not by an if statement someone might forget.

Reminders

Reminders 24 hours and 2 hours before

Two reminders per appointment, in the branch's own time zone. And plainly: a reminder almost always falls outside the 24-hour window, so it needs a message template approved by Meta — we prepare it and submit it during setup. If a reminder cannot be sent for any reason, it is marked as not sent so that someone picks up the phone. Silence here is worse than failure.

An AI agent that knows your clinic and nothing else

Included in the higher tier. It answers from the knowledge base your clinic writes, not from general knowledge, and in the patient's own language: she writes in Arabic, it answers in Arabic; in English, it answers in English. It offers slots that are genuinely free, books only a slot that was actually offered, and hands the conversation to a human when she asks or when the question goes past what it knows.

Results you can read in a management meeting

One screen: how many new conversations, how many deals won and lost, how much money closed against the previous period; which source and which ad produced the conversations that ended in a sale, with the ad's own creative; how many appointments were attended, missed or cancelled; and what is leaking right now — leads that went quiet, messages that failed to send, and 24-hour windows about to close.

Arabic first, not Arabic added later

The interface is Arabic and English, and right-to-left is correct on every screen, not only on the first one. Dates and times are shown in the branch's time zone, not the server's — a group with one clinic in Cairo and another in Dubai is a real case.

Your clinic's data stays your clinic's

Each clinic's data is isolated from every other at the database level, not at the screen level. Access credentials — the WhatsApp token above all — are encrypted at rest with AES-256-GCM and are never shown in full again once saved. Our privacy policy sets out what is processed and what reaches Meta.

What the setup and training fee covers: connecting the clinic's official WhatsApp number, entering branches, doctors, services, packages and prices, writing the agent's knowledge base with your team, preparing the reminder templates and submitting them to Meta for approval, and a training session. Paid once, at the start.

Prices are in Egyptian pounds and exclude any applicable taxes. The subscription is monthly and paid in advance, and can be ended with one month's notice. Full detail in the terms of service.

Getting started

Four steps, not an IT project

  1. A short conversation

    We ask how many branches, doctors and services you have, how many messages a day you handle, and who will work in the system. Then we tell you honestly whether Doctal suits your clinic — before you pay anything.

  2. Connecting the number

    We connect your clinic's official number to Meta's WhatsApp Business Platform. If that number is currently running in the WhatsApp app, we explain what that means and what your options are before we start, not after.

  3. Setup

    We enter branches, doctors and their hours, services and prices and session packages; we write the agent's knowledge base with you, in your own words; and we prepare the reminder templates and submit them to Meta.

  4. Training, then follow-up

    A training session for your team on the system as they will actually use it, then follow-up over the first weeks: we read the results screen with you and adjust what needs adjusting.

What Doctal does not do

We would rather you knew the limits now than a month into running it.

It is not an EMR

Doctal stores no diagnosis, no prescription and no medical report, and it does not replace your medical records system. It is a conversation and appointment system.

There is no payment gateway

Deposits are collected however you collect them today and then recorded against the appointment. No money passes through Doctal.

It does not work by scanning a QR code

Doctal runs on the official WhatsApp Business Platform, which has its own requirements for registering a number and verifying the business. We take you through them step by step during setup.

It does not send outside Meta's rules

Outside the 24-hour window, only an approved template is accepted. We do not work around that limit and do not claim we can.

It does not shield you from WhatsApp policy

Compliance with Meta's business policies rests with the clinic that owns the number. We explain them and help you stay inside them, but a decision by Meta to restrict a number is not ours to make or to guarantee.

It does not know your ad spend

The system knows which ad a conversation came from, not what you paid for that ad. You will find no return-on-ad-spend figure here, because we do not hold half of the equation.

It is not for emergencies

Neither WhatsApp nor Doctal should be relied on in an urgent medical situation. That needs to be clear to your patients before it is clear to you.

It is not for a single-doctor practice

If you answer ten messages a day yourself, this system will not earn its price back. We will say so in the first conversation.

Common questions

What clinic directors usually ask

Do we keep our current number?

Usually yes — but a number running in the WhatsApp or WhatsApp Business app cannot run on the official platform at the same time. We lay out both options, migrating your existing number or dedicating a new one, with what each costs you, before anything is done.

Where is our patients' data held, and who can reach it?

On servers operated by the provider, with each clinic's data isolated from every other: no clinic can reach another's records. Access credentials, the WhatsApp token included, are encrypted at rest with AES-256-GCM, and all traffic runs over HTTPS. What is processed and what reaches Meta is set out in full in our privacy policy.

Does the AI agent invent answers?

It is built to answer from what you wrote in the knowledge base, and to hand the conversation to a person rather than guess when it does not know. Even so, like any system built on a language model, it can still be wrong — which is why we recommend that clinical questions stay with people. The agent is optional and can be switched off, for one conversation or entirely.

How long does it take to go live?

The part in our hands — entering branches, doctors and services, writing the knowledge base, training the team — takes a few days. The part in Meta's hands, business verification and template approval, ranges from minutes to days, and we will not promise a time on Meta's behalf.

What if we want to stop?

The subscription is monthly, not a long contract. Give us a month's notice, we export your clinic's data for you and then delete it from our systems. The procedure is on the data deletion page.
